Privacy Policy

1. Overview

builder.tools ("we", "our", "the Site") is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights under UK GDPR. We collect as little personal data as possible. Tools can be used locally, while signed-in customers can choose to save work to their account.

2. Data We Collect

Data we do NOT collect:

  • Tool input content for analytics purposes — analytics records the action and tool name, not what you typed or calculated
  • Full payment-card details, which are handled directly by Stripe

Data we DO collect:

  • Analytics and account activity: Page views, tool opens, completed tool uses, device type, performance metrics and successful workspace actions. After you sign in, activity is linked to an internal account ID so we can measure return use and show the account owner genuine last activity. We do not send your email, calculation inputs, client details or document contents as analytics properties.
  • Account and saved-work data: Your email address, account dates, subscription state, and any clients, jobs, quotes, invoices or documents that you explicitly save to the cloud.
  • AI generation requests: When using AI-powered tools (Quote Generator, RAMS Generator, Lift Planner, Plumbing Certificate Generator, Listed Building Helper), your input is sent to our server for processing via the Anthropic API. We do not store these requests or their outputs on our servers — they are processed and discarded.
  • Contractor directory registration: If you register interest in our contractor directory, we collect your name, email address, trade, area, and business name. This data is stored in Airtable (a cloud database) and used solely to contact you when the directory launches. We will never sell or share this data with third parties.

3. Local Storage

Our tools use your browser's localStorage to save your data (calculations, timesheets, signatures, recent tools) on your device. This data never leaves your browser unless you explicitly export it. You can clear this data at any time through your browser settings (Settings → Privacy → Clear browsing data → Site data).

4. Cookies & Tracking Technologies

Essential cookies:

  • Theme preference (light/dark mode) — stored locally, no tracking

Analytics cookies:

  • Google Analytics 4 (GA4): We use GA4 to understand how visitors use the Site — which tools are popular, how people find us, and which pages need improvement. GA4 sets cookies including_ga and _ga_* with a 2-year expiry. Google Analytics data is processed by Google LLC. You can opt out using the Google Analytics Opt-out Browser Add-on.
  • PostHog: We use PostHog for product analytics to understand how our tools are used. Anonymous browsing history is joined to the internal account ID when you sign in; we do not send your email address or tool-input content. PostHog data is processed in the configured PostHog region. You can block browser-side analytics by disabling JavaScript or using a privacy-focused browser extension.

Affiliate cookies:

  • Affiliate network cookies: Some pages on our Site contain affiliate links to third-party retailers (e.g. merchant supply stores). When you click these links, the affiliate network (e.g. Awin) may set cookies on your device to track the referral. These cookies are set by the third party, not by us. We may earn a small commission from an eligible tracked purchase—at no extra cost to you. See our Affiliate Disclosure for full details.

You can disable all non-essential cookies in your browser settings. The Site will continue to work normally without them.

5. Third-Party Services

We use the following third-party services:

  • Google Analytics 4: Anonymous usage analytics (Google LLC, USA — EU Standard Contractual Clauses apply)
  • PostHog: Product analytics (EU-hosted)
  • Vercel: Hosting provider — collects standard server logs (IP address, request URL, timestamp) which are retained for up to 30 days
  • Anthropic: AI generation requests are processed via Anthropic's API. Your input is sent to Anthropic for processing and is subject to their Anthropic privacy policy. Anthropic does not use API inputs for model training.
  • Airtable: Contractor directory registrations are stored in Airtable (Airtable Inc, USA)
  • Affiliate networks (e.g. Awin): Affiliate link tracking and commission processing

6. Subprocessors and Data Processing

The providers listed above act as subprocessors where they handle personal data for Builder Tools. We select providers with appropriate security and data-protection commitments, limit the information sent to what the service needs, and use contractual safeguards for international transfers where required. The exact provider depends on the feature used; for example, an AI provider receives a document prompt only when an AI tool is run.

We review this list when services change. Business customers can ask for the current subprocessor list or discuss a Data Processing Agreement (DPA) by emailing contact@builder.tools. Material changes that affect how personal information is handled will be reflected in this policy.

7. Data Retention

  • Analytics data: Retained for 14 months (Google Analytics default), then automatically deleted
  • Contractor directory data: Retained until you request deletion or the directory launches (whichever comes first)
  • AI requests: Not stored — processed and discarded immediately
  • localStorage data: Remains on your device until you clear it

8. Your Rights Under UK GDPR

You have the right to:

  • Access — request a copy of any personal data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — ask us to delete your data ("right to be forgotten")
  • Portability — receive your data in a structured, commonly used format
  • Object — object to processing of your data for certain purposes
  • Withdraw consent — where processing is based on consent, you can withdraw at any time

9. Children

Our Site is not directed at children under 16. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top will always reflect the most recent version. Continued use of the Site after changes constitutes acceptance of the updated policy.
