Variation Order Generator

How to use the Variation Order Generator

1. Enter the project reference and client details.
2. Describe the change to the original scope of work.
3. Add cost items — additional labour, materials, and any programme impact.
4. Generate a professional variation order PDF for client sign-off before the work proceeds.

Why use this tool

• Documents scope changes formally, preventing the dreaded 'scope creep' that erodes profit margins.
• Gets client approval in writing before additional costs are incurred.
• Creates a clear paper trail that protects both parties if disputes arise later.

Variation orders (also called change orders or extras) are one of the most contentious areas in construction. Work changes during a project are inevitable, but failing to document them properly is the number one cause of disputes between builders and clients. A variation order should describe the change, state the cost and time impact, and be signed by the client before the additional work starts. This generator creates a professional, numbered variation order that forms part of the contract record. Get it signed before you pick up a tool — verbal agreements about extras almost always lead to disagreements at final account.
